Freight accounting integration connects approved operational charges to the financial records that explain revenue, purchased transportation, driver compensation, and customer balances. Its value comes from controlled continuity, rather than moving data as quickly as possible. An invoice must represent the correct party, company, references, documents, rate, tax treatment, and approval. Sending an incomplete or duplicated invoice faster creates work downstream instead of removing it.
EXSPEEDITE publishes accounting integration scope for freight operations, including QuickBooks and Sage Intacct workflows. The precise implementation should be specified by object, direction, authority, and exception behavior. This page describes the acceptance process for that connection and for touchless billing preparation. It does not assume that every accounting object synchronizes both ways, that all ledger functions move into the TMS, or that every shipment can be invoiced without review.
Assign ownership before designing the connector
Write down which application owns customer identity, bill-to relationships, vendor identity, account codes, dimensions, invoice numbers, credit references, payment status, and period controls. A customer may exist in both systems while only one is permitted to create the accounting record. An operational reference can change without authorizing a financial document to be rewritten. Ownership rules prevent the connector from turning two valid systems into conflicting masters.
Define the legal entity for each transaction. A terminal, department, and company are not interchangeable. The system may consolidate operational reporting while sending approved transactions to separate ledgers or entities. Test those destinations with restricted users and deliberately similar customer names. The controller should approve the mapping and the default behavior when a required entity or dimension is missing. A visible hold is safer than posting to a convenient but incorrect default.
Make billing eligibility explicit
Delivery completion is only one billing condition. The customer may require a signed POD, a purchase-order reference, a receipt, an approved accessorial, or a verified rate. Define each requirement by agreement and shipment type. A document's presence is not equivalent to its acceptance: an unreadable image or a POD for another load should remain an exception. Record the reason a shipment is held and the person responsible for resolving it.
EXSPEEDITE's touchless billing workflow should be demonstrated with eligible shipments and deliberate failures. Ask how the batch identifies missing information, what changes after review, and how an operator sees the result. Automation should process cases that meet approved criteria and leave understandable exceptions. It should not make uncertain facts appear complete to increase a touchless percentage. Measure the work required to clear the held queue as part of the overall billing process.
Reproduce the commercial calculation
Use actual agreements containing linehaul, minimums, equipment conditions, stop charges, and accessorial rules. Preserve the rate version and inputs that produced the invoice. An amended shipment can require recalculation, but the system should distinguish a draft from a posted document. The financial treatment of a correction depends on the document's state and the carrier's accounting policies.
Prepare an independent expected-result set for the EXSPEEDITE demonstration. Include a contract effective-date boundary, a mileage change, an expired rate, and an accessorial requiring approval. Inspect the calculation explanation as well as the total. If two rules appear eligible, the system should make the ambiguity visible. A reproducible rate selection supports customer service and audit work long after the dispatcher or commercial representative has moved to another assignment.
DOE indexing needs a contractual formula
EXSPEEDITE describes weekly DOE fuel surcharge workflows, but the public price series does not prescribe a carrier's surcharge. EIA states that it publishes diesel-price information rather than calculating or regulating surcharge schedules. The agreement must establish the selected series, region, reference week, base amount, scale, effective date, and rounding. Store those choices so that the calculation can be reproduced later. EIA explanation of fuel surcharges
Test a delayed publication, a contract using the prior week's index, and an invoice prepared after the index has changed. The connector should transfer the approved charge rather than recalculate it using the latest available number. Retain the source value and applicable rule with the shipment. This distinguishes legitimate automation from a current-price lookup that happens to produce a plausible amount but cannot explain the original contractual result.
Define QuickBooks integration by transaction
QuickBooks Online and QuickBooks Desktop are different integration environments. The proposal should identify the exact product, connector method, company file or tenant, permissions, supported objects, and operational owner. Customer records, invoices, credits, bills, payments, and account mappings can have different capabilities. A successful invoice export does not prove that all those objects synchronize in both directions.
For each required object, document its source, destination, unique reference, create or update behavior, and correction process. Ask EXSPEEDITE to demonstrate the contracted scope in a suitable test environment. Include a duplicate customer candidate, a rejected account code, and an invoice adjustment. Establish who resolves exceptions and how financial totals are reconciled. The integration is complete when the carrier can explain the destination record and recover from a failure, not just when the first export succeeds.
Sage Intacct adds entity and dimension questions
An Intacct implementation may use entities, locations, departments, projects, classes, or other dimensions according to the buyer's design. Do not infer the required combination from another customer's configuration. Define how each operational value maps, whether the dimension is required, and what happens when a destination record is inactive. Use the controller's actual chart and dimension rules during acceptance rather than a generic demonstration tenant.
Test two entities sharing a customer reference and one shipment whose operating department changes before invoicing. Confirm the intended destination and approval. Then attempt the same action with a restricted user. A consolidated operational view should not grant financial authority across all entities automatically. The connector's scope should state which statuses or references return to EXSPEEDITE, and which financial actions remain owned exclusively by Intacct. Clear boundaries reduce both duplicate work and unauthorized changes.
Unknown outcomes need reconciliation, not blind retries
A network timeout can occur after accounting accepts a transaction but before the TMS receives confirmation. The result is unknown, rather than necessarily failed. Retrying without checking can create a duplicate invoice or payable. Design a durable source reference and a destination lookup or reconciliation process that establishes what happened before another create request is sent.
Use that exact interruption in the demonstration. Ask the operator to identify the transaction's state, find the destination record, and complete reconciliation without a second financial effect. Preserve the request reference, response where available, and review history. A failed account mapping is a different problem and may be safely corrected before submission. Distinguishing these failure classes is essential; a single retry button should not hide decisions with materially different financial consequences.
Credits and closed periods need explicit rules
An invoice corrected before posting may be revised under the approved workflow. A posted invoice may require a credit and replacement, and a closed period may require a current-period adjustment. The system should represent those states rather than allowing an unrestricted overwrite. Preserve the relationship between original shipment, original invoice, credit, replacement, and approval so that customer service can explain the result.
Ask the controller to provide a realistic correction scenario, including a disputed accessorial after payment. Demonstrate the allowed actions in EXSPEEDITE and the accounting destination. Confirm whether payment status is informational, whether the TMS can initiate a credit, and who approves the financial treatment. A broad promise of two-way sync should never substitute for these rules. The connector must respect the ledger's authority and the organization's period controls.
Purchased transportation and settlements are separate paths
A hybrid operation can have carrier payables, driver compensation, fuel deductions, and customer invoices associated with related movements. Keep the obligations distinct. Reassigning company freight to an outside carrier may change the payable path without changing the customer charge. A team-driver settlement may allocate amounts differently from the customer invoice. Shared shipment references help reconciliation, but they do not make the amounts interchangeable.
Trace an approved carrier bill and a driver settlement correction through their proposed accounting treatments. Include a late fuel transaction and a changed pay rule. Verify that the source approval and calculation remain inspectable. The controller should establish whether the TMS sends summary or detailed transactions and how supporting statements are retained. A faster posting process is useful only when the detail needed for disputes and reconciliation remains available.
Measure financial improvement accurately
Establish a baseline for billing preparation time, exception age, invoice rejection, duplicate incidents, and days between eligible delivery and invoice issue. Measure the same scope after implementation. Reduced handling can create capacity, reduce overtime, or avoid a future hire, but those outcomes are not identical. Faster invoicing can release working capital without creating the same amount of recurring profit. Keep those benefits separate in the business case.
Detention or accessorial recovery also needs careful treatment. A candidate charge is not approved revenue, and approved revenue is not necessarily collected cash. Track entitlement, evidence, approval, invoice, dispute, and collection separately. Use conservative assumptions in the TCO calculator and show how the result changes when benefits are lower than expected. A credible financial case remains useful because its limits are visible, rather than because it promises every carrier the same percentage improvement.
Implement with a parallel close and accountable owners
Inventory masters, open invoices, credits, payables, balances, account mappings, dimensions, document rules, and active connectors. Decide what migrates and what remains in a historical archive. Reconcile counts and financial totals independently of the import process. Pilot a bounded set of customers and transactions, then run a parallel billing and reconciliation period with explicit acceptance criteria. Include month-end and correction cases before declaring success.
Assign owners for mapping, approvals, failed transactions, unknown outcomes, and support escalation. Define cutover, rollback, and the authoritative system for records already in flight. Train operations and finance together so that a held invoice has a shared explanation. Use the freight transportation software guide, truckload carrier workflow, and brokerage workflow to bring a complete order-to-cash scenario to an EXSPEEDITE demonstration.
